Consultant (Visiting Doctor) of a clinic has restricted access to the clinic records (unlike other staff members with Owners / Administrators access, who have complete access to all clinic records and all functionalities of the software) however he can still achieve all tasks related to patients who have an appointment with him like :
- Add New Patient
- Add New Appointments (Schedule)
- Edit Appointments (Re-schedule)
- View Appointments
- Add Medical Records (against patients who have appointment with him)
- View Income From Visiting Clinic (Bills / Payments)
We will go through each of these functionalities in step by step manner .
Add New Patient
Refer to screenshot below and follow these steps :
Step 1 : Click on the '+Add' button present in top header as shown in point-1 in the screenshot below . This will open a dropdown .
Step 2 : Next please click on '+ Add Patient' link in the drop-down . This will open add new patient form which is described in next step .
Step 3 : Once you land on the new patient entry form, fill required details and click 'Add New Patient' button (only patient name is mandatory field in this form ) as shown in the screenshot below .This will add new patient in you clinic patient records and can be used later to perform other activities like 'appointment / treatment plan / clinical notes / prescription etc ' . ( Patient Entry form is shown in the screenshot below)
Incase you want to add patient and also immediately schedule an appointment for this patient then you can click on the 'Add New Patient and Book Appointment' button , this will add patient also open 'Add Appointment' modal so that you can carry on scheduling appointment for this new patient .
Add New Appointment (Schedule)
Step 1 : You can reach appointment calendar module by clicking on 'Appointments' link in the left side menu as shown in the screenshot below
Step 2 : You will reach appointment calendar . Here by clicking on any vacant slot on calendar (for example near 9AM on 11th Feb ie click in the rectangle box in the screenshot below ) , a pop-up window to add new appointment will open up . Here time of appointment will be automatically populated based on the slot where you clicked on the calendar .
Step-3 : Once 'Add New Appointment' pop-up window is opened , we can start by filling first field ie 'Patient Name' . This can be done by searching for patient name by typing initials of the patient name in the 'Patient' Name field and then selecting the patient (as shown in the screenshot below ) .
Step-4 : Select the patient name
Step 5 : Once patient is selected , you can fill remaining details (as shown in the screenshot below ):
- Time-Duration / Treatment / Notes / Appointment Type (Doctor name would be pre-selected)
- Communication details like sms/email to doctor/patient .
- Click 'Save'
This will schedule new appointment with existing patient and also send required sms/email communication to patient as well as doctors regarding this appointment .
Edit Appointments (Re-Schedule)
First go to appointment calendar module by clicking on 'Appointments' link in the left side menu as shown in the screenshot below
Once you reach appointment calendar, follow steps given below to view/edit exiting appointment from calendar :
Step 1 : Click on any existing appointment in the calendar which you wish to edit or view details (for example blue color existing appointment of 'Aaron Wheeler' at 10-12AM , Tuesday,11th Feb ) as shown in the screenshot below :
Step 2 : This will open a pop-up window of 'Edit Appointment' (refer to screenshot below) with all the details of the appointment .
Step 3 : Edit Appointment : In this pop-up window you can edit Time/Duration/Treatment/Notes etc fields and also re-send updated details of appointment via sms/email by checking appropriate boxes at the bottom of the pop-up window and then click 'Update' . This action will save appointment with new inputs ie re-schedule and also send sms to patient and doctors with updated information about appointment (sms will be sent only if boxes sms/email boxes at the bottom of pop-window are ticked ) .
You can also click on 'Cancel Appointment' or red color 'Delete Permanently' button to cancel the appointment .

There are two ways to view appointments of patients scheduled with you :
- Dashboard (Appointments for the day)
- Appointment Calendar ( Appointment for the week/month/day view )
1. Dashboard (Appointments for the day ) : As shown in the screenshot below , dashboard which is the first screen you see after login contains the appointments for the day (highlighted in the screenshot below )
2. Appointment Calendar ( Appointment for the week/month/day view ) : Go to appointment calendar by clicking on 'Appointments' link in the left side menu as shown in the screenshot below :
This will take you to appointment calendar where you can see all the appointments of patients schedules with you in day/week/month views as shown in screenshot below :
Add Medical Records
In order to add records to a patient scheduled with you , please follow these steps :
Step 1 : First thing you need is to access patient records, to do this simply click on the patient name in the appointment row on dashboard screen as shown in the screenshot below .
Other way to reach patient records for consultants (visiting records) is to go to appointment calendar and click on any existing appointment, once edit appointment window opens then click on the blue link on patient name as shown in screenshot below to reach patient records :
Step 2 : You should reach patient records by following step-1 . Next click on the green '+Add' button as shown in the screenshot below in point-1 .
This will open a dropdown with option to :
- + Add Appointment
- + Write Prescription
- + Add Treatment Plan
- + Add Bill
- + Write Clinical Notes
- Send SMS
- Send Email
Click on required link in the drop-down to add corresponding record for the patient .

View Income From Visiting Clinic (Bills/Payment)
All the bills generated by you (or you have been added as doctor by other staff while generating bill), will show up i billings module . To reach billing module , click on 'Billing' in the left menu as shown in the screenshot below :
You will reach billing module (refer to screenshot below) . Here you can view all the bills generated by you (or wherever you have been added as doctor) , you can also filter bills by 'date-range' or 'payment status' . Once filtered by date , you will be able to see your total billing at the visiting clinic and also total collection against those bills as shown in red rectangles in the screenshot below .
